Diesel Generator FAT Report Template and Guidelines
A complete diesel generator FAT report identifies the tested unit, order, approved procedure, instruments, conditions, personnel and witnesses. It records every test and load stage, compares results with approved criteria, controls deviations and retests, references supporting evidence, and ends with reviewed authorization for release or further action.
- Record traceable identities, document revisions and calibration status.
- Keep raw readings separate from acceptance decisions.
- Never erase a failure; document correction, retest and disposition.
Establish report identity and references
Enter report number, purchase order, model, ratings, serial numbers and tested configuration. List the approved procedure, datasheet, drawings and revision status. Use the complete generator FAT guide to place this record within the wider FAT process.
Record instruments and test conditions
For each meter or load bank, enter its ID, range, calibration certificate reference, due date and status. Record ambient conditions, fuel, coolant, operating mode and pre-test observations.
Complete every test and load stage
Use one row per test or stage: target load, actual kW and kVA, voltage, current, frequency, power factor, temperatures, pressures, duration and observations. Follow the approved staged load test procedure; blank cells should be explained as not applicable or not tested.
Decide, document and authorize
Compare results with project-approved FAT acceptance criteria. Record pass, fail or deviation; then identify corrective action, retest results, evidence, witness comments, signatures, review status and revision history.
No. Readings require criteria, status, deviation disposition, evidence and authorized review before they support release.
Preserve the original entry, issue a deviation reference, record corrective action and add a separately dated retest result.
Include identifiable images of the nameplate, setup, instrument or load-bank displays, significant observations and corrected defects, each with a file reference.
Practical FAT test-record format
| Test or stage | Requirement | Measured result | Status | Evidence |
|---|---|---|---|---|
| Example: load stage | Approved procedure and criterion reference | Time-stamped readings and observations | Pass, fail or deviation ID | Data file or photo number |
Values must come from the actual test; the example row is a format, not an acceptance limit. The International Organization for Standardization identifies test methods for generating sets in ISO 8528-6:2018. This supports naming the applicable method and procedure revision so buyers can determine how results were produced.
Instrument validity also matters. ISO explains in its ISO/IEC 17025 overview that the standard addresses laboratory competence and valid results. For procurement, this means requesting identifiable instruments and calibration evidence rather than accepting an unchecked reading.
Review and revision control
The final report should show preparer, reviewer, supplier approver and witness roles, dates, comments, attachment references, revision number and release status. The ISO publication page for ISO 9001:2015 identifies controlled quality-management requirements; this supports preserving approved records and revisions rather than overwriting test history. Before shipment approval, verify that every required field is complete and every deviation is closed or formally accepted.
